WhatsApp Business App vs API: when has your business outgrown the app?
Updated · 6 min read
Many companies first use WhatsApp through the free WhatsApp Business app, often on a phone per branch or department. That stops working once several teams answer customers, conversations need to be on record, and WhatsApp has to connect to your CRM, order or booking systems.
The WhatsApp Business API (the WhatsApp Business Platform) is built for that. Here's how the two compare and the signs your business has outgrown the app.
The short answer
The app is designed around a single phone. Once WhatsApp is a channel your teams rely on, with several departments or branches, after-hours demand, reporting and integrations, you need the API. It has no screen of its own, so you use it through a platform such as Syncli.
Side-by-side comparison
| WhatsApp Business app | WhatsApp Business API | |
|---|---|---|
| Cost | Free | Per-message fees from Meta, plus your platform's subscription |
| Who replies | One phone and up to four linked devices | Your whole team from a shared inbox |
| Automation | Greeting and away messages, quick replies | Chatbots, WhatsApp Flows, AI agents, automatic reminders and notifications |
| Messaging customers first | Broadcast lists and, where available, business broadcasts | Approved templates, scaling to unlimited unique customers a day |
| Catalogue | Up to 500 items | Through your platform, connected to stock and checkout |
| Payments | Share links by hand | Payment links sent automatically, for example with Yoco or Payfast |
| Integrations | None | CRM, booking systems, stores and more through your platform |
| Green tick (Official Business Account) | Not available | Available to eligible verified businesses |

Where the app runs out
- Teams and branches. One phone plus four linked devices means chats can't be assigned or routed between departments, and nobody can see who's replying to whom.
- After-hours demand. An away message can't answer a question, take a booking or send a payment link.
- Manual work at volume. Confirmations, reminders and "where's my order?" replies are typed by hand.
- Records and compliance. Conversations live on individual phones, so when a staff member leaves, their chats and customer history can leave with them.
- No reporting. You can't measure response times or see which conversations became sales.
What the API adds
- A shared team inbox on one number, with chats assigned to the right person.
- Automation and AI that capture leads, answer common questions and hand over to a person when needed.
- Templates for reminders, confirmations and campaigns, sent automatically.
- Higher limits. New accounts can start conversations with 250 unique customers a day. That rises to 2,000, 10,000, 100,000 and then unlimited as you verify your business and keep message quality high.
- The green tick. Verified businesses that meet Meta's requirements can apply to become an Official Business Account. App numbers aren't eligible.
What it costs
The app is free. On the API, Meta charges per delivered template message, and each number gets 1,000 free service replies a month. Our South African WhatsApp API pricing guide has the current rates and a worked example. Add your platform's subscription: Syncli's plans are on the pricing page.
Can you keep your number and the app?
Yes, you can keep your number. Meta also lets some businesses keep using the WhatsApp Business app on the same number after connecting it to the API through a Tech Provider or Solution Partner. Meta calls this coexistence. It syncs up to six months of chat history, but some app features, such as broadcast lists, are switched off. Ask your provider whether it's available for your number before you move.
Signs it's time to switch
- Several teams, branches or departments answer customers on WhatsApp.
- Customers wait hours for replies, or message after hours and go elsewhere.
- You copy and paste the same answers, reminders or bank details every day.
- You can't tell which chats turned into sales.
- You want customers to book or pay without leaving the chat.
